Privacy Policy

1. Controller
LinguoSphère Inc. is responsible for the personal information processed through the platform. In accordance with Quebec's Law 25, the person in charge of the protection of personal information is Marie Membrado, Chief Executive Officer. Contact: contact@linguosphere.ai.
2. Scope
This Policy applies to users of the LinguoSphère platform, whether they access it directly or through a client organization.
3. Information collected
Depending on your use, LinguoSphère may collect: account identifiers (name, email address), account settings, language practised and stated goals, content you enter to create a scene, audio transmitted during an interaction, conversation transcript, generated responses and feedback, usage history and scenes used, learning reports, technical and device information, IP address and connection logs, necessary billing information, locally stored preferences and analytics data collected with your consent. The public website does not directly collect payment card details through an integrated payment service.
4. Collection means
Information is collected directly from you (at sign-up and during use), automatically (technical logs, cookies) and, where applicable, through the organization providing your access.
5. Purposes
Information is processed to: provide the conversation, transcript, feedback, reports and other features of the service; manage your account and billing; ensure security, prevent fraud and comply with legal obligations; improve the usability and performance of the service.
6. Audio and transcripts
Audio is processed during the interaction to produce the conversation, transcript and feedback. It is not retained by LinguoSphère after the session. Transcripts may be retained for up to 12 months and are then deleted or anonymized, subject to any applicable legal or contractual obligation. You may request access to or deletion of your information by writing to contact@linguosphere.ai, subject to exceptions provided by law.
7. Learning data and AI models
Learner data is not used by LinguoSphère to train its AI models. It is processed to provide the service and produce the related reports.
8. Information accessible to client organizations
When your access is provided by an organization, it may view reports on your activity and general progress. It does not have access to your audio recordings or transcript content.
9. Cookies and analytics
The platform uses cookies or local storage that are strictly necessary for its operation, including authentication sessions, language and consent preferences. With your consent, PostHog is used for audience measurement and service improvement. PostHog starts only after you accept. You may accept, decline or change your choice at any time using the “Manage cookies” link in the footer.
10. Providers
To operate the platform, LinguoSphère uses Lovable Cloud for hosting, database services, authentication and transactional email, Lovable AI for artificial intelligence functions, and PostHog for audience measurement when you consent. No payment provider is integrated into the public website as of the date of this Policy.
11. Transfers outside Quebec or Canada
Depending on the service and provider configuration, information may be processed outside Quebec or Canada. When such a transfer is necessary, LinguoSphère applies the requirements of applicable law and limits the information transferred to what is necessary to provide the service.
12. Security
LinguoSphère implements reasonable technical and organizational security measures to protect personal information, including access controls, account authentication, role-based permissions and access limited to authorized persons. However, no method of transmission or storage provides absolute security.
13. Retention and destruction
Audio is not retained after the session. Transcripts and technical and security logs are retained for up to 12 months. Information associated with an active account is retained for as long as necessary to provide the service. After an account is deleted or closed, certain information may be retained for up to one year when necessary to meet a legal or contractual obligation or to process a request. Billing records are retained for the period required by applicable tax and accounting laws. At the end of the applicable period, information is deleted or anonymized.
14. Your rights
Subject to the conditions of applicable law, you may request access to your information, correction, deletion, portability, restriction of, or objection to certain processing, and withdraw your consent for processing that relies on it.

Requests may be sent to the person in charge of the protection of personal information: contact@linguosphere.ai. We respond within the timeframes set by applicable law.
16. Privacy incidents
In the event of a privacy incident, LinguoSphère assesses the risk, takes the necessary measures to limit it, keeps the required records and notifies individuals and authorities where required by law.
17. Minors
The service is reserved for individuals aged 18 and over. No account may be created for a minor.
18. Changes
This Policy may evolve. Significant changes will be brought to your attention before they take effect.
